Relay Exchange Zone #1
Hey Everyone. It’s almost time for race day. And a few of you had some questions about the duties at the relay exchange zones.
Each relay exchange zone is different because of the layout of the locations. But, there the goal for each zone is the same; get the baton passed and keep it moving to the finish line. So, in order to most effectively achieve this goal there are a few key jobs that are the same for each zone: the Relay Finish Spotter, the Time-Caller, and the Time-Taker.
The Relay Finish Spotter will have a walkie-talkie and stand a few yards ahead of the zone and inform the time-caller and time-taker that a relay-runner is approaching. This will also give another member of our volunteer team time to prepare that runner’s team mate for the next leg of the race once the baton is handed off.
Each zone will have a large digital clock. The time-caller will announce to the time-taker the approaching relay team’s number and that runner’s finishing time. Not a hard job, but the time-take’s eyes are focused on the page and writing down information and they may not be able look up at the clock; especially when the runners are coming fast and furious.
Now, there are numerous other roles at each zone that are important as well. You'll get a diagram in your volunter packet that will help make things more clear.
At each zone, the runner that has completed their leg of the race will get a medal. Therefore, skilled and happy medal givers are necessary. Also, once a runner is done, they’re going to want to join their team back at the finish-line. There will be busses to carry those runners back to runner’s village near the Start/ Finish line. Because of the location of some zones, that pick up point may not be close to the exchange zone and we’ll need volunteers to help directed tired runners to waiting buses.
And every zone needs cheerleaders!
Once you arrive at your zone, you team-leader will assign roles to the group. If you have more volunteers than jobs, I suggest taking shifts.
Finally, here are a couple things I noticed about each one of the zones last year:
Zone 1: Your zone is in a tight space and runners are still strong. So be prepared! They will come REALLY fast on the start gun goes off. Also, you guys will definitely need flashlights for set –up.
Zone 2: Zone 2 is right in the middle of neighborhood that goes all out for the marathon. People will be lining the streets to cheer on runners. It’s a fun zone, but pay close attention. All the fun could lead to a runner getting missed. The pace here is still fast, so stay alert!
Zone 3: One of my favorites! Again, this exchange is right in the middle of another great neighborhood. Last year they had several bands playing and almost every house had a lawn party to cheer on runners. This zone can be run with fewer people as the pace of the runner’s starts to slow down a bit. I will warn you; this zone is kinda far out there on the course. Bring a lawn chair there can be long stretches of time between runners.
Zone 4: THE WALL…. Here’s where some of the marathon runner’s lose steam and where we can start to lose some relay folks as well. This zone is located right across from The Sea Walk Pavilion and is a blast. It’s also very congested with folks from restaurants, out for a day at the beach and supports. So again, you have to pay attention so that runner’s don’t get lost.
Remember, it’s your exchange zone! We’ve given you the necessities, but make it your own and most of all make it fun!! I’ll swing by each zone a few times during the race just to make sure that you have everything you need.
As always, let me know if you have any questions. See you this weekend!
